ROLE SUMMARY

The Admin Specialist will support, receive and perform daily work assignments from Site Leader, Managers, or Group Leaders.  The role performs normal office functions such as answering site phone calls, arranging meetings and conferences, and receiving, referring, or answering e-mail. Reviews drafts and finished documents for appropriate grammatical usage; answers questions relating to office operations and established policies and procedures.  Gathers, compiles and reports on information relevant to the individuals and group(s) he/she is supporting.  Manage site documentation – records management, file maintenance, and  record retention.  Oversight Kronos payroll management; Purchase order creation and invoice management.

ROLE RESPONSIBILITIES

  • Adhere to all cGMP, FDA guidelines/laws and corporate expectations

  • Maintains calendars, accepts, and declines appointments, anticipates conflicts, and resolves problems proactively.

  • Coordinates activities for meetings and events including contingency planning, proactive problem solving, (e.g., ordering of food (compliant to policy) and AV equipment, handling issues for offsite meetings).

  • Coordinate offsite meetings with Meeting and Events.

  • Schedule videoconferences when/if needed

  • Handles full spectrum of travel arrangements (i.e., research/book flights, hotels, and ground transportation; visitor site access, passport, and visa documents) and itineraries.

  • Expense reports, i.e., creation and submission with (cash and charge) receipts and cash details; AMEX reconciliation.

  • Coordinate visits of external individuals to the site.

  • Independently plans and executes work to meet assigned objectives and helps other administrative colleagues during absences from the office or as backup when necessary.

  • Provides copying, faxing, scanning, and printing support to assigned leaders and colleagues.

  • Order all office supplies and IT equipment as needed.

  • Takes personal accountability for quality of own work that impacts the department and understands impact of actions.

  • Partner with Customer Service, Transportation, Receiving, etc., to drive results.

  • Responsibilities may include occasional special project work and other duties as assigned by the Managers or Site Leadership

  • Ensures accuracy of work and uses judgment to determine work methods in different situations.

  • Ad Hoc projects (daily requests).

  • Models Pfizer Values and Leader Behaviors. Participates as an effective team member acting as a subject matter expert representing the business process, sharing information and “load sharing,” as needed.

  • Ability to keep sensitive and company confidentiality information and data.

  • Knows and follows standard processes, procedures, and SOPs as applicable, e.g., travel arrangements, confidentiality agreements, purchase orders.

  • Demonstrates expert knowledge and proficiency with general office procedures such as, customer service, e-mail/phone etiquette, commonly used office software, e.g., Outlook, MS Office-Word, Excel, PowerPoint, Visio, and expert knowledge of Pfizer specific processes and procedures applicable to the line/Site (e.g., ARIBA, and BT on Demand platforms).  Skilled in utilizing the following Pfizer applications and systems: Teleconference Services, SharePoint.  Proactively balancing tasks, activities and priorities for self and others.

  • Conducts all activities and makes decisions that are in accordance with Company policies and SOPs, Pfizer Values, and global regulatory guidelines (including cGMP/cGDP), environmental guidelines, as appropriate, etc.

  • Complete any other tasks deemed necessary and assigned by a Group Leader, Warehouse Manager or Logistics Center Director.

BASIC QUALIFICATIONS

  • High school diploma or equivalent

  • Personal computer skills

  • Minimum of three years experience in general warehousing or manufacturing to include order assembly, shipping/receiving, stocking, inventory maintenance, and picking/verification functions. 

  • Must have proven work record indicating initiative, proficiency, integrity, dependability, and good attendance

  • Must be able to work in a team-oriented environment and be able to demonstrate investigative/problem solving skills

  • Must have good communication skills and work ethic

  • Must successfully pass all applicable Pfizer proficiency tests

  • Proficient in Microsoft Teams, Word, PowerPoint, and Excel

PREFERRED QUALIFICATIONS

  • Associate Degree a plus

  • Outstanding verbal and written communication skills

  • Excellent knowledge of Warehouse Management Systems (e.g. SAP, Labor Management System, Kronos, ARIBA etc.)

  • Demonstrated PC skills (i.e. Microsoft Office)

  • Knowledge of SOX requirements

 
 

PHYSICAL/MENTAL REQUIREMENTS

Normal Office environment. Long hours spent standing and walking or sitting are required. Sometimes additional hours are required as business needs dictate. These may include evenings and weekends on occasion. May have some light lifting required on occasion.
